Greenlight America is the leading grassroots campaign force powering the nation’s clean energy transition at the local level. Founded in 2023, we support local organizations and volunteers working to get clean energy projects built in their communities. In the past two years we have advanced more than 25 gigawatts of clean power to the grid, approximately 13x the size of the Hoover Dam.

POSITION OVERVIEW

Greenlight America is seeking a Special Assistant to serve as a close partner to the Founder & CEO in a newly created role designed to support the organization’s continued growth and evolution. As Greenlight scales, this role will help maximize the CEO’s effectiveness through research and preparation, prioritization, communications drafting, process and project management, and administrative support.

The ideal candidate thrives in fast-moving environments, adapts quickly to new challenges, is thoughtful about how tools and processes can be used to make work easier and more effective, and exemplifies follow-through and detail orientation. This role is well-suited for someone with both a passion for clean energy deployment and an interest in the organizational structures and processes of a new and growing nonprofit organization.

PRIMARY ROLES AND RESPONSIBILITIES

The Special Assistant’s responsibilities will encompass four primary areas (expected time spent on each area is included below):

Preparing the CEO to maximize effectiveness - 40%

  • Through independent research and coordination with internal stakeholders and experts, create preparatory materials that give the CEO context and information needed for upcoming meetings, interviews, and events.

  • Prepare regular briefings (e.g. daily and weekly) to keep the CEO informed and position them to engage effectively in meetings, at events, and around key organizational priorities.

  • Help teams engage the CEO more effectively and consistently by clarifying expectations, timing, information needed, goals, and next steps

  • Surface patterns around how time is being spent and offer perspective on potential adjustments

 

Communications and followup - 20%

  • Draft communications for the CEO to adapt for common use cases, such as thank you notes after meetings or new meeting requests

  • Over time, provide first drafts of internal communications from the CEO, applying the CEO’s “voice” and priorities for Greenlight’s internal culture

  • Model Greenlight’s organizational principles, reinforcing a collaborative, accountable, and mission-driven culture through day-to-day interactions

 

Project and process management - 20%

  • Track decisions, commitments, and action items involving the CEO and ensure reliable follow-through

  • Identify and communicate out next steps, send followups and reminders, and otherwise manage processes involving the CEO to maximize clarity, alignment, and follow-through

  • May manage projects that heavily involve or stem from the CEO, or that don’t fall naturally into the responsibilities of another Greenlight department

 

Administrative support - 20%

  • Provide scheduling, calendaring and logistical support to the CEO as needed, particularly for complex meetings with multiple stakeholders, trips with multiple meetings, and similar scenarios; collaborate on implementing a calendar strategy, including sequencing, pacing, and tradeoffs

  • Support administrative tasks such as travel booking, time tracking, and expenses

  • Attend meetings as needed to take notes, identify next steps, and drive follow-ups

EXPERIENCE AND QUALIFICATIONS

We are looking for candidates who have the following qualifications:

  • 1 or more years of experience, including meaningful experience supporting senior leaders in executive support, coordination, or closely adjacent roles. 3 or more years of total professional experience preferred.

  • Passion for the clean energy transition is required; 1 or more years of experience in the climate and/or clean energy sector preferred.

  • Experience working in a startup or fast-growing organization preferred.

  • Comfort providing executive support that spans administrative work, coordination, and higher-level problem-solving.

  • Strong judgment, including with regard to handling sensitive and confidential information.

  • Research experience and skill.

  • Exceptional verbal and written communication skills, including the ability to drive projects forward through warm and direct follow-up, experience synthesizing information and drafting clear and concise materials, and dexterity in learning and applying a specific executive or organizational “voice”.

  • Strong project management skills and comfort coordinating across internal teams and external partners.

  • High comfort with technology and digital tools used to support executive work, including Slack, Google Suite, and Asana.

  • High emotional intelligence and the ability to read people, dynamics, and context.

  • A proactive, anticipatory working style — able to see around corners and surface issues or solutions early.

  • Organized, detail-oriented, and reliable, with strong follow-through and a calm, steady presence.

COMPENSATION AND BENEFITS

The base salary range for this role is $60,000-85,000, commensurate with experience.
